Custom ERP development for connected operations

We connect the records your business now keeps in separate systems. Enterprise resource planning (ERP) software brings work such as stock control, purchasing and order handling into a shared process. We start with how records move between departments, then compare ready software with custom modules. You get a plan for the system and the move into daily use.

Connected operations: records with a named source and owner, agreed before the build.

A practical starting point: the modules needed for a complete business process first.

A controlled transition: trial imports and a pilot before wider rollout.

What you get

At handover you have:

  • A process map showing where orders, stock and financial records meet.
  • A comparison of ready software and custom development for the gaps.
  • The modules in the estimate, with permissions for each department.
  • Connections to existing systems after their requirements have been checked.
  • Imported records, reconciliation results and a list of unresolved differences.
  • Pilot results and instructions for daily operations.

The plan identifies which system owns each shared record. Accounting can stay in your current software while the new system exchanges the data it needs. You and your accountant approve the accounting rules; development does not establish their tax or accounting correctness.

What the cost depends on

We estimate from a complete operating process and sample source records.

  • How closely ready software fits your operations.
  • The modules and departments involved in the first rollout.
  • Approval rules and access to sensitive records.
  • Connections to warehouse, order and accounting systems.
  • Source data quality and differences between existing records.
  • Trial imports, reconciliation and the final changeover.
  • Staff training and later support needs.

Licenses, hosting and outside service fees come on top of our work. Correcting historical accounting records is your responsibility or separate specialist work. New departments or modules get an updated estimate before development.

We answer every inquiry within one working day. The schedule depends on process decisions, usable source data and access to the systems involved.

Your custom code and operating accounts stay yours. The handover lists licenses and who can change or export records. We assign the people each module needs, our specialists or contractors we have worked with, and CyberLab stays responsible for the result.

What is included and what is not

Included

  • Mapping the operating process and comparing system routes.
  • Building or configuring the modules in the estimate.
  • Setting permissions and the checked system connections.
  • Trial and final imports with record reconciliation.
  • A pilot, user training and an operating handover.

Not included

  • Deciding purchasing, stock valuation and accounting policies.
  • Correcting historical records beyond the planned migration.
  • Tax advice, bookkeeping and statutory reporting approval.
  • Hardware, software licenses and hosting.
  • Ongoing maintenance and additional rollout stages.

You name process owners from the departments involved. They resolve conflicting records and approve the business rules before those rules become software.

When you need this

  • Staff re-enter the same order in several systems.
  • Stock figures differ between departments.
  • Purchasing decisions rely on spreadsheets nobody can reconcile.
  • Finance waits for operational records to arrive manually.
  • An old system needs replacing while daily operations continue.

How the work goes

What you have after each step

  1. Step 1. Trace the operating process

You get a map from an incoming order through stock handling to the financial record. Department owners show actual documents and explain exceptions, including returns and corrections.

  2. Step 2. Choose the modules and system route

You get a ready-software comparison or a custom plan, with record ownership and access rules. You choose the first process to bring across and approve the accounting connection requirements.

  3. Step 3. Build and reconcile a trial import

You get a test system and a report comparing source records with imported records. Staff check stock balances and document links. Differences are resolved or listed before the pilot.

  4. Step 4. Pilot and expand the rollout

You get pilot results, a changeover plan and operating instructions. You approve when each department starts using the system and where new entries belong during the transition.

How we can work together

Pick the form that fits the task. We suggest one after the first conversation.

  • Consultation or audit

For when you want a second opinion on a plan, a system or a quote before you commit. You get a written review with recommendations and an estimate of the next step.

  • Fixed-scope project

This works when the requirements can be written down before work starts. You get the agreed scope for the agreed price. Anything new goes through an updated estimate first.

  • Time and materials

For when the scope will change as you learn, as with research or a new product. You pay for the time spent, and we review the plan with you as the work goes.

  • Support after launch

Your system is already live and needs updates, fixes and monitoring. We agree a monthly arrangement and a list of what it covers.

Platforms and tools we work with

Laravel, Yii, .NET (C#) and Node.js. MySQL and PostgreSQL for records, ClickHouse for heavy reports.

We choose the platform from the task, and the list shows what we use most often.

Who this is for, and when it is too early

Departments that need shared records and can name who owns them are ready for this. It is too early if nobody can decide which stock figures or accounting rules are authoritative.

A ready ERP may cover the process with configuration. A broken data connection may only need a repair. If the problem is limited to customer relationship management (CRM), see CRM development for contacts and sales activity.

Configure a ready ERP, add a module or build your own?

OptionWhen it fitsWhat to settle first
Configure a ready ERPIts records and operating rules fit the businessData exports, licenses and the effort of changing current processes
Add a custom moduleThe current system works except for a defined gapSupported connections and whether upgrades will affect the module
Build a custom systemEssential processes cannot be supported well by the other routesOwnership of business rules, migration and long-term maintenance

Replacing working modules adds migration work, so each replacement needs a reason.

Working with clients in other countries

  • Contract and NDA. You sign a contract with CyberLab.Team OÜ, a company registered in Estonia, before work starts. If you need an NDA, we sign it before you share confidential data.
  • Invoices in euros. We invoice in euros from an EU company with a VAT number.
  • Languages. We work in English, Ukrainian, Russian and Polish.
  • Calls and replies. We hold calls at hours agreed with you and reply to messages within one working day.

Frequently asked questions

Choosing the operating model

Must every department move into the ERP at once?
No. Start with a complete process that can be piloted without splitting responsibility for the same record. Later departments can join after the pilot and its data checks are reviewed.
Can we retain accounting software that already works?
Yes, if its supported connections or exports meet the requirements. We define what moves between systems and which system owns each record. Your accountant approves how the exchanged data is used.
Should we automate a process that staff handle differently today?
First decide which differences are necessary. Building conflicting rules into software makes the disagreement harder to resolve. Department owners need to settle the common process and its valid exceptions.

Modules and permissions

How do we choose the first operating module?
Pick the process where shared records will remove a concrete handoff problem. Check its dependencies so the first module can complete useful work without relying on unfinished modules.
Can warehouse staff update quantities without seeing financial records?
That boundary can be part of the access model. We define permitted actions by role and check that restricted records stay unavailable through screens and direct requests.
Can corrections keep a record of the original entry?
The system can record who changed an entry and why, where the workflow requires it. We define which fields are editable and which changes need a correcting document or approval.

Migration and reconciliation

What if stock balances disagree before migration?
We report the differences rather than choose a balance automatically. Your process owners decide the correct starting records and approve any adjustments before the final import.
Do we need to move every historical document?
No. We separate records needed for daily work from history that can remain in a readable archive. You decide retention needs with your accounting or legal adviser.
How are documents and their line items checked together?
The migration checks links as well as totals. We inspect whether imported orders retain their items and related movements, then report missing links for review.

Changeover and acceptance

Where do new orders go during the pilot?
The pilot plan names the system where staff enter each type of record. It also explains how pilot data reaches other departments, so an order is not entered twice by accident.
What if a department is not ready for its rollout date?
Review the dependency before moving the rollout date. The changeover plan identifies what can continue in the existing system and what must wait, with a revised sequence for affected departments.
Who signs off the operational and accounting checks?
Your process owners confirm the operational records, and your accounting representative checks the accounting treatment. We provide the software test and migration results for those decisions.
